Date requests by day

Choose the day-only mode. The couple picks a shoot type and a date, and the request is saved in your dashboard with name, phone, service and day. They can send it to your WhatsApp in one tap and get an "add to calendar" link.

Treat each booking as a date request. Check your calendar, take the advance, then confirm on WhatsApp. Tag the chat as it moves: "date held", "advance received", "confirmed". For a three-function wedding, add a service called "Multi-day wedding (send dates on WhatsApp)", so it arrives as one enquiry.

Fast first replies, even mid-shoot

Type "/" and a shortcut, and a saved reply goes out: /packages for your rates, /advance for payment terms and UPI, /deliverables for what the couple receives and when, /portfolio for your website link.

Let the chatbot take the first message:

  • A greeting with quick-reply buttons: Check a date, Packages, See our work.
  • A WhatsApp Flow, a short form inside WhatsApp, that asks the date, city, functions and photo, video or both.
  • Keyword rules: "package" or "rate" gets your packages. "Album" or "delivery" hands the chat to a person.

No flash during pheras." The contact profile keeps the chat history, so what was promised at booking is still there at delivery.

Send quotes as documents and previews as photos in the same chat. Roles and permissions decide what each person can do. On the Growth and Pro plans, couples can also call your number on WhatsApp, and the studio answers in the browser.

Delivery updates and next season's bookings

Tag couples by stage: "editing", "selection pending", "album printing", "delivered". When an album moves, tell them. If they have not messaged in the last 24 hours, the update must use a format approved by Meta, and it should go only to clients who agreed to hear from you. Ask at booking. WhatsApp's message charges are billed by Meta.

Past clients who opted in can hear about anniversary shoots, maternity sessions and a baby's first birthday, as campaigns sent now or scheduled, with delivered and read counts.

Poster designs cover offers, events, hiring for a second shooter or editor, and greetings for Valentine's Day, Karva Chauth, Diwali and New Year. Your logo, name and phone are added automatically, in post, square and story sizes.

A day in the life

Take an example studio, Kesariya Studio in Jaipur. It is made up, here only to show the flow.

  1. At 7 a.m., Kabir leaves for a haldi. Ananya, the studio manager, opens the dashboard. Two date requests came in overnight. She checks the calendar, holds 14 December for one couple and tags the chat "date held".

  2. By 11, new enquiries get the greeting and the date form. A "package" question gets /packages. Ananya sends /advance to the couple ready to book.

  3. At 2 p.m., a message says "Album kab aayega?" The word "album" hands it to a person, and Ananya assigns it to Rohit, the editor. He replies with the stage and a date, then adds a private note.

  4. At 5, a bride's father calls the studio number on WhatsApp. Ananya answers in the browser and fixes a meeting for Sunday.

  5. At 10 p.m., Kabir is back. He picks a hiring design for a second shooter, shares it on his WhatsApp status and Instagram, and schedules the approved album update for clients tagged "selection pending".

  6. At midnight, the out-of-hours message takes over.
