For doctors' clinics, dentists and physiotherapists

Online appointment slots, quick WhatsApp answers and a shared inbox for clinics, dentists and physios.

Sound familiar?

The OPD starts at 10. By 9:40 there are six patients on the bench, one caller on hold, and the reception phone keeps lighting up. "Doctor sahab aaj baithenge?" "Fees kitni hai?" "Report dikhani hai, kab aaun?" Sunita at the front desk writes names in the register, hands out tokens and types replies in between.

Meanwhile the doctor's own phone holds a second clinic. Reports arrive at 11 at night. A follow-up question sits between the family group and the society group, where no staff member can see it.

A dentist knows the patient who was due for a cleaning and never got reminded. A physiotherapist knows the daily reshuffle of session timings, one call at a time.

What changes

GrowthDwar gives your clinic a website with online appointments, a shared inbox on the official WhatsApp Business Platform from Meta, and poster designs. One dashboard, in English or Hindi.

1 of 5

A clear, factual clinic website

You answer simple questions: clinic name, type of practice, logo, photos, services with fees, a short "about us", OPD hours, address and Google Maps location. The website is written from those answers. Choose from 8 designs.

Keep it factual. In "about us", say who the doctors are, their qualifications, languages and which days each one sits. List services the way patients ask for them, "General consultation", "Dental cleaning", "Physiotherapy session", each with a fee. Skip big claims. Patients trust a clinic that sounds calm and honest.

The site is built for the phone first and shows an "Open now" status, a map with directions and a big WhatsApp button. Use the free yourname.growthdwar.com address or connect your own domain, and the security certificate is set up automatically.

Appointments that land in your dashboard

Most clinics should use the time-slot mode. The patient picks a service, a day and a slot from your OPD hours. The booking is saved with name, phone, service, day and time. The patient can send it to your WhatsApp in one tap and gets an "add to calendar" link.

If your clinic runs on tokens, choose the day-only mode instead: the patient picks the day, and reception gives the token on arrival. If you prefer to call every patient back, choose the simple message form.

A physiotherapist can list "Assessment" and "Follow-up session" as separate services, so the desk knows at a glance who is new.

Answer timings and fees, leave medicine to the doctor

Most clinic messages are about timings, fees, location and reports, not medicine. Saved replies handle them: type "/" and a shortcut. Use /timings for OPD hours, /fees for charges, /address for directions and parking, /reports for what to bring.

Set the chatbot up for the front desk's job, not the doctor's:

  • A greeting with quick-reply buttons: Book appointment, Clinic timings, Talk to reception.
  • Keyword rules: "fees" or "charges" gets your fee list. "Timing" or "Sunday" gets OPD hours. Words like "pain", "fever", "report" or "medicine" hand the chat to a person.
  • An out-of-hours message with your opening time and a clear line: "For an emergency, please call 112 or go to the nearest hospital."
  • Optional AI replies that answer using information you give it. Give it admin details only.

Set response-time targets, with escalation to the clinic manager when a chat waits too long.

Patient chats on a clinic number, not a personal phone

The shared inbox lets reception, the doctor's assistant and the billing desk reply from one clinic number. Assign chats, transfer them and add tags like "new patient", "follow-up" or "physio". Photos and documents, like reports, arrive inside the same chat.

Keep privacy simple. Use team roles and permissions so each person has only the access their work needs. Private notes stay inside your team; keep them short and factual, like "review after 2 weeks". The contact profile shows past chats, so the desk knows who has visited before.

Patients can also call your number on WhatsApp. The call rings in the browser, a voice menu routes it ("press 1 for appointments, press 2 for reports"), and the desk can transfer it to the assistant. Call history is saved.

Gentle reminders and clinic notices

Send campaigns to tagged patients who agreed to hear from you: a six-monthly dental check-up reminder, new OPD timings, a holiday closure. If a patient has not messaged in the last 24 hours, the message must use a format approved by Meta. WhatsApp's message charges are billed by Meta. Keep these useful, never pushy.

Poster designs cover announcements, events like a check-up camp, tips, and greetings for Diwali, Holi, Eid, Christmas and New Year. Your logo, clinic name and phone number are added automatically. For tips, use only words your doctor has written or checked.

Copy, change, send

These are examples. Change the names, fees and timings to match your clinic.

  • Greeting with buttons
  • Saved reply for /timings
  • Check-up reminder
  • Appointment confirmation

A day in the life

Take an example clinic, Shanti Clinic in Kothrud, Pune. It is made up, here only to show the flow.

  1. At 9:30 a.m., Sunita opens the dashboard. The morning's online bookings are there with names and phone numbers. Overnight messages already have the out-of-hours reply.

  2. At 10:15, Sunita answers timing and fee questions with /timings and /fees. A patient writes that her knee pain is worse after exercise. The word "pain" hands the chat to a person, and the physiotherapist's assistant replies and books a review.

  3. At 1 p.m., a patient calls the clinic number on WhatsApp. The voice menu sends the call to reports, and Sunita transfers it to Dr. Kulkarni's assistant.

  4. At 4, Dr. Kulkarni picks an announcement design for the Diwali closure, changes the dates and shares it on the clinic's WhatsApp status. Sunita schedules the same notice as a campaign for patients who opted in.

  5. At 9 p.m., the clinic closes. The doctor's personal phone stays quiet, and new messages wait in the shared inbox.

  4. Create saved replies: /timings, /fees, /address and /reports.

  5. Set a greeting with three buttons, keyword rules that send medical words to a person, and an out-of-hours message with the emergency line.

Can patients book an appointment on the clinic website?

Yes. Patients pick a service, a day and a time slot from your OPD hours, and the booking is saved in your dashboard with their name and phone number. They can send the booking to your clinic's WhatsApp in one tap and add it to their calendar.

Will the chatbot give medical advice?

Set it up so it does not. Give the chatbot and AI replies only practical information like timings, fees, address and which doctor sits on which day. Use keyword rules to hand any question about symptoms, reports or medicines to a person at the clinic.

Can the doctor stop using a personal number for patients?

Yes. Patients message the clinic's own business number on the official WhatsApp Business Platform from Meta, and your team replies from a shared inbox in the browser. The doctor's personal WhatsApp can stay personal.

Can we send check-up reminders and clinic notices?

Yes, as campaigns to patients who agreed to hear from you. If a patient has not messaged in the last 24 hours, the message must use a format approved by Meta. WhatsApp's message charges are billed by Meta.

Who on my staff can see patient chats?

Team roles and permissions let you decide what each person can do in the dashboard. You can assign each chat to the right person, and private notes stay inside your team.

Can I try GrowthDwar before paying?

Yes. Every account starts with a 14-day free trial and no card is needed. You can set up your website, connect WhatsApp and send your first messages before choosing a plan.
