Choose the time-slot booking mode. Add services like "Trial session", "Yoga, morning batch" and "Zumba". The visitor picks a service, a day and a slot from your opening hours. The booking is saved in your dashboard with name, phone, service, day and time. They can send it to your WhatsApp in one tap, and the "add to calendar" link puts the trial in their phone.

If you run open gym hours with no fixed slots, the day-only mode lets a visitor simply pick the day they will come.

Renewals and comebacks

In the last week of the month, schedule a campaign to next month's renewal tag. Send another to "trial-not-joined" when you start a new batch. You see how many messages were delivered and read. These go only to people who agreed to hear from you, and if they have not messaged in the last 24 hours, the message must use a format approved by Meta. WhatsApp's message charges are billed by Meta.

Poster designs cover offers, tips, events like a Sunday park session, hiring for trainers, and festivals like New Year, Holi, Diwali and Independence Day. New Year is a big joining season, so plan that poster early. For a Yoga Day post, start from an event or greeting design and change the words. Your logo, name and phone are added automatically.

Front desk and trainers on one number

Everyone replies from one business number in a shared inbox. Put the front desk in a team with round robin assignment for trial enquiries. Assign personal training chats to trainers. Leave private notes like "knee injury, no heavy squats yet" or "prefers evening batch". Roles and permissions decide what each person can do.

  2. At 6:30, between batches, the front desk answers four fee questions with /fees. A message asking about "diet plan" is handed to a person, and the desk assigns it to the head trainer, who replies after his session.

  3. At 11, Vikram imports last year's member list as a CSV and tags each member by renewal month.

  4. At 4 p.m., a trial visitor from the morning messages, "Joining kaise karein?" The desk replies with /upi and moves her tag from "trial-not-joined" to "renews-dec".

  5. At 8 p.m., Vikram schedules the renewal reminder for members tagged "renews-nov" who said yes to messages, then posts a New Year offer design on his WhatsApp status.

  6. At 10:30 p.m., the gym closes and the out-of-hours reply takes over.
