Your website takes one kind of booking, so pick the one that matches how you teach:

  • Group batches at fixed times: booking by day. The parent picks the trial class and a day, and you reply with the batch time. This avoids a 2 p.m. trial for a batch that runs at 6.
  • One-on-one lessons: booking by time slot. The student picks a day and a slot from your opening hours.

Either way, the booking is saved in your dashboard, and the parent can send it to your WhatsApp in one tap. Name each trial service with the age group, so the right teacher is ready.

Batch timings and fees answered in seconds

Type "/" and a shortcut, and a saved reply goes out in full. Make /batches for timings by class and age, /fees, /trial for what to wear and bring, and /address.

Let the chatbot take the first message:

  • A greeting with quick-reply buttons: Book a trial, Batch timings, Fees.
  • A menu in the visual flow builder: Dance, Vocal, Instruments, Adults.
  • Keyword rules: "batch" or "timing" gets your batch list. "Fees" gets your fee reply. "Admission" or "complaint" goes to a person.

Recitals, workshops and notices to the right parents

Tag parents by batch as they join, like "Kathak juniors" or "Guitar adults". At admission, ask, "Shall we send class updates on WhatsApp?" and tag the ones who say yes.

Then send a campaign to one tag, now or scheduled: the rehearsal schedule, the costume list, a holiday notice. Each parent gets it in their own chat with your number, so no numbers are shared, and delivered and read counts show how many have seen it. If a parent has not messaged in the last 24 hours, the message must use a format approved by Meta and go only to parents who opted in. WhatsApp's message charges are billed by Meta.

She schedules the dress rehearsal message for the morning, only to parents tagged "Kathak juniors" who said yes to updates.

  6. At 9 p.m., the hall lights go off and the out-of-hours message takes over.
