Room requests with dates and guests

Choose the day-only mode and ask for the number of guests. The guest picks a room type, a check-in date and how many people are coming. The request is saved in your dashboard with name, phone, room and day, and the guest gets an "add to calendar" link.

In one tap, the guest sends the request to your WhatsApp, where you settle the rest: check-out date, children, arrival time and tariff. A WhatsApp Flow, a short form inside WhatsApp, can ask those questions for you.

Treat every booking as a request: check your room chart, then confirm. Add "Group or wedding block" as its own room type, so a booking for 8 rooms stands out.

Check-in details without the 11 p.m. calls

Type "/" and a shortcut, and a saved reply goes out: /checkin for times and ID rules, /directions for the route and parking, /upi for the advance, /food for breakfast and kitchen timings.

Let the chatbot take the first message:

  • A greeting with quick-reply buttons: Check rooms, Directions, Talk to the front desk.
  • Keyword rules: "room" or "available" gets the booking link. "Parking" gets your parking reply. "Cancel" or "refund" hands the chat to a person.
  • Optional AI replies that answer using information you give it, like pets, sights or the nearest ATM.
  • Business hours, so a guest writing after the desk closes gets a reply that asks for their arrival time.

One number for the day desk and the night desk

The owner, the front desk and the night manager reply from one business number. Put desk staff in a team with automatic assignment, so new chats are shared out. Tag guests: "arriving today", "group", "repeat guest". Leave private notes: "Anniversary, wants a cake at 8 p.m." The contact profile keeps the history, so a repeat guest is greeted like one.

A response-time target escalates any chat that waits too long to the owner.

On the Growth and Pro plans, guests can call your number on WhatsApp. The desk answers in the browser, a voice menu sorts calls ("press 1 for a new booking, press 2 if you are staying with us"), and calls can be transferred.

Festival and long-weekend offers to past guests

At check-out, ask: "Shall we send you our long-weekend offers on WhatsApp?" Tag the yes, along with "family", "couple" or "corporate". Then send campaigns to a tag, now or scheduled, for Diwali, New Year, Holi, and the Independence Day and Republic Day weekends, and see delivered and read counts.

These go only to guests who opted in. If a guest has not messaged in the last 24 hours, the message must use a format approved by Meta, and WhatsApp's message charges are billed by Meta.

Poster designs cover offers, announcements like a new rooftop café, hiring for housekeeping, and greetings for Diwali, Christmas, New Year and Holi. Your logo, name and phone are added automatically.

A day in the life

Take an example property, Hill Breeze Guest House in Mussoorie. It is made up, here only to show the flow.

  1. At 7 a.m., Mrs. Negi opens the dashboard with her tea. Four room requests came in overnight, each with a room type, check-in date and guest count. She checks the register and replies with tariffs.

  2. At 10, as guests check out, she asks about long-weekend offers and tags the ones who say yes.

  3. At 1 p.m., a message says "Cancel karna hai". The word "cancel" hands it to a person, and Mrs. Negi takes it herself.

  4. At 4, arriving guests get /directions and a photo of the gate. One calls from the taxi on WhatsApp, and Raju at the desk answers in the browser.

  5. At 8, Mrs. Negi picks a New Year design, changes the offer line and schedules the approved campaign for guests tagged "family" who said yes.
