Consultation slots instead of a crowded bench
Choose the time-slot mode. The client picks a service, a day and a slot from your office hours. The booking is saved in your dashboard with name, phone, service, day and time. The client can send it to your WhatsApp in one tap and gets an "add to calendar" link.
Two tips:
- Add "Tax notice: discussion" as its own service, so urgent matters stand out in the list.
- Office hours take one time range per day. In season, widen the range rather than squeezing in extra slots by phone.

Documents in one chat per client
Every client writes to one firm number, and the shared inbox keeps each chat with its full history. Photos and documents arrive in that chat, so this year's Form 16 sits next to last year's questions.
Assign each client to the person handling their file, and transfer to a partner when needed. Tag as you go: "ITR salaried", "capital gains", "GST monthly", "GST quarterly", "TDS", "docs pending", "filed". Leave private notes: "Rent receipts missing for Jan to Mar. HRA claim on hold." Roles and permissions give each person only the access their work needs.
Type "/" and a shortcut, and a saved reply goes out: /itrdocs for the ITR checklist, /gstdocs for monthly invoices, /bank for payment details, /office for directions. A WhatsApp Flow, a simple form inside WhatsApp, can ask salaried or business, rental income, capital gains and which year.
One habit worth keeping: ask for papers on chat, never for passwords.

Practical answers, tax advice from a person
Set the chatbot up for the front desk:
- A greeting with quick-reply buttons: Book a consultation, Send documents, Talk to the team.
- Keyword rules: "documents" or "Form 16" gets your checklist. "Notice", "penalty", "scrutiny" or "refund" hand the chat to a person.
- Business hours with an out-of-hours message.
- Optional AI replies that use only the practical details you give it.
A response-time target escalates any chat that waits too long to a partner. On the Growth and Pro plans, clients can also call your number on WhatsApp, and the office answers in the browser.

Due-date reminders to clients who asked for them
Send campaigns to a tag, now or scheduled: an ITR season reminder to "ITR salaried", a monthly nudge to "GST monthly", an advance tax reminder to business clients. Delivered and read counts show how far each reminder reached.
These go only to clients who agreed to hear from you. If a client has not messaged in the last 24 hours, the message must use a format approved by Meta, and WhatsApp's message charges are billed by Meta. At onboarding, ask: "Shall we send due-date reminders on WhatsApp?" Tag the yes. Your client list can come in by CSV import.
Poster designs cover announcements, tips and greetings for Diwali, New Year, Independence Day and Republic Day, with your logo, name and phone added automatically.

Take an example practice, Joshi & Associates in Naranpura, Ahmedabad. It is made up, here only to show the flow.

At 10 a.m., Hetal Joshi opens the dashboard. Three clients sent documents overnight. Kunal tags them "docs pending" and starts checking.
